Background & Rationale

Community-level social events are an effective, low-cost and participatory channel for delivering health and social messages directly to target groups. By combining interactive learning with recognition and engagement activities, such events achieve higher recall of key messages and encourage community ownership.

Each event is designed for a focused group of 25–30 trainees / participants, a size that allows meaningful interaction, hands-on participation and effective dissemination of Information, Education and Communication (IEC) materials.

Objectives

  • Raise awareness on the targeted health / social theme among community members.
  • Engage participants through interactive and participatory methods that aid retention of key messages.
  • Distribute IEC materials and handouts to reinforce learning beyond the event.
  • Encourage positive behaviour change and community ownership of the issue.

Scope of Activities (Per Event)

  • Mobilization and registration of 25–30 trainees / participants from the target community.
  • Set-up of the event venue with a branded informational banner.
  • Distribution of IEC materials and handouts carrying the key messages.
  • Conduct of an interactive Question–Answer session and a Painting Competition to drive engagement and learning.
  • Recognition of participants through prizes, kits, chocolates and gifts.
  • Documentation of the event (attendance, photographs and a brief report).

Methodology & Event Components

Banner

A branded banner displaying the event theme and key messages is installed at the venue to anchor the event and reinforce visibility.

IEC Materials / Hand-outs

Printed leaflets, pamphlets and handouts are distributed to each participant so that key messages can be revisited and shared within households after the event.

Question–Answer Session / Painting Competition

An interactive Q&A session tests and reinforces understanding, while a painting competition offers a creative, participatory way for participants to express and internalize the messages.

Prizes / Kits / Gifts

Participants and winners are recognized with prizes, kits, and small gifts, which encourage participation and create a positive association with the messages delivered.

Implementation & Monitoring

PPHF will plan and execute each event in coordination with the local community and relevant stakeholders. Monitoring will be carried out through attendance records, participant feedback, event photographs and a brief completion report submitted after each event.

Expected Outcomes

  • Improved awareness and understanding of the targeted theme among 25–30 participants per event.
  • Wider message reach through IEC materials carried back into households.
  • Higher community engagement and willingness to adopt recommended practices.

 Terms and Conditions

  1. Quoted prices must represent the cost levied by your organization.
  2. Quotation validity: 30 days from the date of opening.
  3. All correspondence must indicate ENQUIRY NO. & DATE.
  4. Quotations must be typed or clearly written in indelible ink, without corrections or erasures.
  5. The quotation must include PAN, GSTIN, and complete contact details of the bidder.
  6. The sealed quotation must reach PPHF at the below address on or before 16/06/2026 by 15:00 hrs through courier, registered post, hand delivery, or by email at procurement@pphfglobal.org.
  7. If sent by email, the quotation document must be password-protected, and the password shared at the time of bid opening only.
  8. Payment will be made via NEFT/RTGS after release of payment from the client.
  9. The sealed envelope or email subject line must clearly mention Social Events.
  10. All correspondence regarding the Purchase Order will be managed through PPHF Head Office, New Delhi.
